Identify the acceptance document
Start with the lease-end requirement or fit-out drawing and identify who has authority to accept the result. Where documents conflict with the existing premises, record the discrepancy before treating either as the complete removal instruction.
Inventory retained systems
List base-building systems and fittings separately from tenant items. Shared electrical, ventilation, sprinklers and alarms need clear boundaries and responsible specialists where affected. A label such as “bare shell” should never be the only instruction for those systems.
Specify the surfaces
Document the ceiling, wall and floor condition required after removal. Identify whether adhesive, backing or selected finishes remain and whether further preparation belongs to the following trade. Photographs and marked drawings can support a common understanding.

Confirm access and records
Record loading and carrying arrangements, common-area protection and the building’s relevant requirements. Identify the documents expected at handover and the process for noting incomplete or disputed items. Do not promise a particular disposal or compliance record unless it is part of the actual arrangement.
Close the loop with the right people
