Ask for the evidence you need before booking
If a landlord, designer or project file requires waste records, state that requirement before accepting a collection proposal. Ask what the provider can supply for this actual arrangement. A document that is useful for an invoice may not answer a question about material destination or recycling. Do not assume every load produces the same records.
Read the scope of each document
A collection acknowledgement can show that identified material was received. A weight ticket can record a measured load, if one was issued. Neither automatically identifies every material within a mixed load or proves its final treatment. Compare the document's stated information with the claim you need to support rather than supplying missing details yourself.
Keep mixed and separate streams distinguishable
Use consistent load or collection references in the debris inventory. If material leaves through separate recipients, retain the corresponding records separately. Do not calculate a recycling percentage from incomplete documents or label a reuse intention as a completed transfer. Ask the provider to clarify any mismatch.
Close gaps honestly
At handover, list received records and outstanding requests. Where the available document does not establish a destination or outcome, state that limitation. Keep financial and personal information in the private project file. This guide explains how to discuss evidence; it does not promise a Clearpath diversion rate, certification or a particular disposal document.
Questions to settle before the next step
Use this decision table with the people responsible for your property. Record the actual answers in your private project file.
| Decision | Question or evidence | Next action |
|---|---|---|
| Collection acknowledgement | Which items or load does it identify? | Do not infer final treatment |
| Weight or facility record | What quantity and destination are stated? | Check matching reference |
| Outcome claim | What evidence supports reuse or recycling? | Leave unproven claims unmade |
Keep your completed record private. Bring the relevant scope questions into the optional project planner or discuss them directly with Clearpath.
