Freeze a useful starting issue

When asking several contractors to price removal, give each the same dated scope, drawing and photo references. A document list makes omissions visible. Keep options, such as removing an additional room, separate from the base request. This does not require a formal tender process; it helps each bidder understand what you are asking them to assess.

Send clarifications to every bidder

If a question reveals that a slab stays or a ceiling extends into another room, issue a written clarification to everyone pricing that work. Identify the superseded instruction and the new one. Avoid forwarding a competitor's confidential estimate or methods. Share the owner's clarified scope, not another bidder's commercial information.

Keep unknowns visible

List information that is still pending, including surveys, access permissions and the next trade's required surface. Ask bidders to identify assumptions and exclusions against those items. Do not force a firm inclusion by leaving an uncertainty out of the request. If the basis changes materially, allow each bidder to respond to the same revision.

Check the issue named in the response

Record which document issue each estimate uses before comparing estimates. An acknowledgement confirms receipt, not agreement with every assumption. Resolve conflicting versions before choosing a contractor. After appointment, use the separate scope change record for changes to the agreed work.
